privacy policy
Last updated: October 28, 2026
This notice explains how Match Nest Inc. (MatchNest) handles personal information collected through matchnest.org, our application forms, and related intake communications. MatchNest provides surrogacy matching and journey coordination. Independent licensed professionals provide medical and legal services.
Information we collect
We collect information you choose to provide, such as your name, email address, phone number, location, preferred language, questions, and application answers. Depending on the application, answers may include date of birth, height, weight, citizenship, pregnancy and delivery history, family circumstances, embryo status, and other screening information. Some of this information is sensitive. Please provide only the information requested; do not send medical records, identity documents, financial account details, or other sensitive documents through a general inquiry or ordinary email unless we have arranged an appropriate method with you.
Our website may also record technical information, including your IP address, browser/user-agent information, form submission time, and consent preferences. Necessary cookies support security, website functionality, language selection, and your privacy choices.
How we use information
We use information to respond to inquiries, review applications, communicate about next steps, coordinate our services, maintain application records, protect our systems, and meet applicable legal obligations. Application screening is not a medical diagnosis or a guarantee of eligibility. Newsletter and advertising choices are separate from submitting an application.
Where applicant records are stored and who receives them
Applications submitted through the main website are saved in our WordPress/Elementor database hosted by GoDaddy. Copies are also sent to MatchNest email accounts used by Imad Dahdoul and Deanne Molina, including admin@matchnest.org. Website backups may contain copies of these records. Google Workspace provides our email service.
Simbe provides applicant intake, application forms, and messaging technology for MatchNest. Information you provide through Simbe-powered forms or conversations may be processed in its systems on our behalf, including application answers and communications. MatchNest retains ownership of its customer data. We coordinate requests concerning records in Simbe with Simbe. Contact us if you need details about the providers or processing involved in your interaction.
Submitting a website application does not automatically send it to a fertility clinic. If a later stage of your journey requires sharing information with a clinic, lawyer, or another professional, we will explain the next steps and obtain any authorization required for that disclosure. Service providers may also process information to operate our hosting, email, communications, and website services. We may disclose information when required by law or to address fraud, security threats, or legal claims.
Cookies, Google, Meta, and embedded content
Optional analytics and marketing on the main website are controlled by your cookie choices. Google Analytics is used for website statistics when you allow statistics cookies. Meta Pixel and related server-side advertising events are used when you allow marketing cookies. These services may receive device/browser identifiers, IP addresses, and information about permitted website interactions. The main-site tracking setup is designed to wait for the relevant consent choice. Rejecting optional cookies does not prevent you from submitting an application.
You can change or withdraw your choices through the website’s consent-preferences control. See our Cookie Policy for more information. Optional embedded videos may contact their provider when you choose to enable them. External websites, including social media and vendor-hosted pages, have their own privacy notices and controls; a choice on this website may not carry over to them.
Retention and deletion
For applicants who do not proceed to an active case, we review and delete application records 36 months after our most recent contact with that applicant. A new conversation restarts that period. We retain records longer only if an active case, dispute, legal obligation, or other documented need requires it. This is a manual review process, not an automatic deletion timer.
Active-case records are reviewed separately according to the services provided and applicable recordkeeping requirements. Deletion must cover relevant website records, email copies, and service-provider records; deleting a website entry alone does not remove every copy. Backup copies may remain until the provider’s normal backup rotation. We coordinate provider deletion and will explain any outstanding retention or legal restrictions when responding to a request.
Your choices and privacy requests
You may contact us to request access to or correction of your information, request deletion, ask about retention, or stop optional marketing communications. Depending on where you live, you may have additional privacy rights. We may need to verify your identity using information proportionate to the request. Please do not email identity documents or medical records to verify a request unless we arrange a suitable method. We will explain any legal reason that prevents us from fulfilling a request.
Use the unsubscribe option in an email, if provided, or contact us to stop optional email marketing. Follow the opt-out instructions in a text message to stop those messages. Withdrawing marketing or cookie consent does not itself delete an application or stop communications necessary to handle an ongoing request.
Security and international visitors
We use safeguards to help protect information, including encrypted website connections and restricted administrative access. No website, email system, or storage service can guarantee complete security. Our website and service providers may process information in the United States and other locations. Contact us before submitting sensitive information if you need clarification about international processing or your privacy rights.
